How do you register your sole proprietorship with the KVK?
Short answer
You log in on the website of the KVK (the Dutch Chamber of Commerce) with your DigiD and fill in the registration form. Usually you then complete the registration at an appointment at a KVK office; sometimes it is fully online. You pay a one-off registration fee (the amount is on kvk.nl).
The KVK passes your details on to the Belastingdienst. Within about ten working days it decides whether you are an entrepreneur for VAT (btw), and then sends you your btw-id (VAT identification number) and your omzetbelastingnummer (VAT tax number).
Step by step
- Think of a name for your business (trade name, handelsnaam) and what you are going to do. Check whether the name is still free.
- Log in on kvk.nl with DigiD and fill in the registration form. You can stop in between: your details are saved.
- If you need to come in, book an appointment online at a KVK office of your choice. Bring a valid ID.
- After registering you get your KVK number. You can request an extract (uittreksel) right away; some banks ask for one.
- Within about ten working days you get a letter from the Belastingdienst about your VAT numbers and the taxes that apply to you.
What to arrange next
- A separate business bank account is not required, but makes your bookkeeping much clearer.
- Start your bookkeeping right away: keep receipts and invoices, and keep track of your hours and business trips.
- Decide whether the KOR (the small business scheme) suits you, before you send your first invoices.
- Put your VAT deadlines in your calendar.
Registered with the KVK is not yet an entrepreneur for income tax
Being registered with the KVK does not automatically make you an entrepreneur for income tax. The Belastingdienst decides that, for example based on the number of customers, your profit and your risk. Only as an entrepreneur for income tax do you get the deductions for entrepreneurs.
