For accountants: how you look along with your client
Your client does the daily work, in their own language. You step in where it matters.
Do you speak your client's language?
Many starters choose an accountant who speaks their own language. The program is available in six languages: Dutch, English, Turkish, Arabic, Polish and Romanian. Everyone picks their own language: your client works in theirs, you in yours. The figures, the general ledger and the VAT return are the same for both of you. Invoices and quotes stay in Dutch.
How it works
- Your client goes to Settings → Access in the program and invites you with your e-mail address, as Accountant (read-only).
- You see invoices, receipts, VAT per quarter, hours, trips and the income tax forecast. You cannot change anything.
- At the Accountant level you also see the general ledger (RGS 3.8), the trial balance and the journal, with the invoice or receipt for every entry. Whatever is not processed yet is shown separately. You can download everything as CSV.
- On the General ledger screen you download the year as an audit file (XAF 4.0), checked against the Belastingdienst schema. That is the new version: the old XAF 3.2 stops on 1 January 2027.
- The general ledger rolls over every year with an opening balance: each year starts with the balance sheet of the year before, and that opening balance is in the audit file too.
- Want to make correcting entries yourself? Then your client invites you as Employee instead of as Accountant. You then book under Journal entries, on the RGS accounts and always balanced (debit = credit). An entry never changes: you correct a mistake with a reversing entry. That is also how you enter an opening balance for a business that existed before it started using the program.
- Your client always sees who has access and stops it with one click.
What your client has already done
Your client does not do any bookkeeping entries: everything they record goes into the general ledger by itself. Receipts are photographed and sorted, the VAT return is ready box by box, and every amount shows which tax rule it comes from. Your client files the return, or you do it with the figures from the program.
Use it yourself, and pass it on
- Recommend the program to your clients. They record what they buy and sell themselves, and learn bookkeeping as they go. You get tidy records instead of a box of receipts.
- Your client invites you. You look along as Accountant, or you book along as Employee.
- Send a new client the explanation in their own language: Nederlands, English, Türkçe, العربية, Polski or Română.
